2. Data we collect

We collect information you choose to provide through contact, reservation, delivery-order and Fox Run reward forms, such as your name, email, phone number, delivery address, requested date, group size, order and message. For a Fox Run reward, we also store the reward code and its hash, verified score, creation and expiry dates, redemption status and a hashed network address.

Fox Run rewards

We use your email to deliver and manage your reward and limit claims to one per email every 30 days. First name is optional. Game paths and pickups are checked to verify a winning run; the saved coupon record contains the verified score, not the full path. Joining the newsletter is a separate, optional choice. Your reward remains available if you do not subscribe.

3. Why we use it

We use submitted information to answer enquiries, process reservation and delivery-order requests, issue and verify one-use Fox Run discount codes, prevent abuse and maintain website security. We do not use reservation or game reward data for marketing without separate, optional consent.

4. Legal bases

Processing may rely on steps requested before providing a service, legitimate interests, legal obligations or consent where required.

5. Retention

Keep enquiries, reservation requests and promotion records only as long as necessary for operations, fraud prevention, accounting, dispute handling and legal compliance. Earlier game rewards use a 120-day rolling retention period. New Fox Run reward records are kept to manage redemption, enforce the 30-day claim limit and resolve support requests; contact us to request removal when they are no longer needed.

6. Service providers

Hosting and email providers may process limited data on our behalf. If you continue an order through WhatsApp, the order details you choose to send are also processed by WhatsApp and its provider, Meta.

7. Your rights

You may request access, correction, deletion, restriction, portability or objection, subject to applicable law.

8. Security

The site uses server-side validation, CSRF protection, spam controls and encrypted SMTP when configured.

When you choose to join our newsletter, we add your email address to the subscriber list immediately, send a welcome email and may send Fox Bros Du newsletters, offers and updates. We send this marketing based on your consent. Subscription is optional and separate from reservations and contact enquiries.

We record your consent wording, consent version and signup and subscription times, along with the signup method. Older subscriptions may also include an email confirmation time. Our hosting and email providers process the subscription and deliver the emails. We use a hashed network address for hourly signup abuse limits. Expired entries are removed on the next newsletter request or scheduled job.

New signups do not require an email confirmation step. Confirmation links from older signups remain valid for 48 hours; older unconfirmed records are removed after seven days when the newsletter service next processes a request or scheduled job. Active subscription records are kept while you remain subscribed.

You can withdraw consent through the unsubscribe link in our newsletter emails. Unsubscribing removes your email address from our active list; a hashed email identifier, unsubscribe token and unsubscribe time remain to record that preference. 10. Optional website analytics

With your permission, we use Google Analytics to understand which pages people visit, how they find the site, engagement, devices, approximate location and clicks on contact buttons. Google processes the analytics information to provide this service. Analytics cookies use a pseudonymous browser identifier; we do not send your name, email address, phone number, delivery address, form contents, order details or full WhatsApp message links to Analytics. Advertising features are disabled.
